Schools that use automated tools for integrity, placement, or behavior decisions are usually required by their own policy to explain the decision and to allow a review. Asking for the basis is not adversarial — it is the process they published.
The second half is the student's own record: drafts, versions, attendance, earlier feedback, and anything that shows the work or the circumstances. Appeals are won on documents, and most families have more of them than they think.
The protocol
- Ask the school for its written policy on the decision in question, and read what it says about notice, review, and appeals.
- Write down the timeline: what happened, when the family was told, and by whom.
- Request the basis of the decision in writing: what evidence was used, whether an automated tool was involved, and how the result was reviewed.
- Attach the student's own record and ask for a specific remedy — a review, an alternative assessment, or a correction to the file.
- Send it to the person the policy names, copy the next level, and keep a dated copy of everything.
- If the decision stands, follow the policy to the next stage rather than starting a new argument at the first.
